SF Media Data Systems is operated by SF MEDIA (SW) LTD, a company that works on the systems behind media catalogues rather than on the productions themselves. We build and maintain metadata management systems for organisations that hold large volumes of audio, video and still imagery and need to find any item within them quickly. Our work covers the structure of records, the vocabularies used to describe them, and the rules that keep those descriptions consistent as a collection grows.
The difficulty in media metadata is rarely storage. Most clients arrive with material already saved somewhere and with several spreadsheets, folders and legacy databases describing it in different ways. A clip may carry a title in one place and a reference number in another, and neither agrees with the broadcast log. We examine those sources together, establish which fields are authoritative, and design a single structure that can hold the descriptions without losing the detail each department relies upon.
Our systems are built around controlled vocabularies and defined field types. Contributors choose from approved terms rather than typing free text, which keeps spelling, capitalisation and naming conventions stable over time. Where a catalogue must follow an external standard, we map our fields to it and record the mapping openly, so the collection remains portable and can be exchanged with partners, archives or distribution platforms without a further round of manual correction.
We also handle the practical side of migration. Existing records are inspected, duplicates are identified, and gaps in required fields are listed before anything is moved. Clients receive a written account of what was found and what was changed. Once a system is in service, we support the routine work of maintaining it: adding field types for new formats, retiring terms that are no longer used, and adjusting workflows when a cataloguing team changes how it operates.
SF Media Data Systems works with broadcasters, production companies, archives and rights holders. Engagements are usually arranged directly with the organisation that holds the collection, and we are content to work alongside an existing IT department or supplier where one is already in place.
